Close a creator campaign with a reliable record of approvals, final files, usage dates, payments, performance context, and renewal reminders.
A campaign does not end at upload. Closeout creates one reliable record of what was approved, delivered, published, licensed, invoiced, and still pending. That record protects both renewal and the next quote from memory-based assumptions.

Separate approved and obsolete files
Mark the final approved exports and drafts that must not be used. Store the approval message with the file list. A delivery folder containing “final,” “final2,” and “final-new” is not a closeout record.
Confirm actual usage dates
Do not assume paid use began on the planned launch date. Ask the responsible contact to confirm first use or record the campaign evidence available under the agreement. Set reminders before expiry and include the exact asset and current scope in each reminder.
Capture performance responsibly
If reporting is permitted, save a dated snapshot with metric definitions, observation window, and organic or paid context. Do not turn one campaign into a guaranteed case study. Obtain permission before publishing brand assets, fees, dashboards, briefs, or results.
Renewal note template
The 60-day paid social license for the approved captioned video is scheduled to expire on the recorded date. Current scope covers the named US accounts and does not include new edits or other platforms. Please confirm takedown or request a written renewal before expiry.
Feed the next quote
Compare estimated and actual production time, count late scope questions, note which approval checkpoint prevented rework, and update the private cost model. Do not expose confidential campaign terms in the public rate card.
